How EPM Vitals handles website, checkout, activation, support, and local-first product privacy boundaries.

1. Local Product Processing Boundary

EPM Vitals is designed as a local-first EPM analysis and delivery support tool.

Customer project files, EPM snapshots, metadata packages, configuration workbooks, grids, mappings, business rules, validation outputs, conversion outputs, review evidence, and local run folders are processed in the user's own local environment.

The EPM Vitals software does not automatically upload, transmit, or remotely access those customer EPM artifacts through the product. The product does not require a vendor-hosted processing workspace or public cloud processing service to review EPM files.

The website, email, checkout, license delivery, activation support, and customer support communications are separate from local product processing.

2. Scope Of This Policy

This policy applies to personal information we may process when you:

  • visit https://epmvitals.com;
  • contact us by email;
  • request a demo, evaluation, quote, license, activation code, refund, or support;
  • purchase or evaluate EPM Vitals through a payment or checkout provider;
  • send us optional activation information or support materials.

This policy does not replace the EPM Vitals Terms of Service, Refund Policy, Data Security page, Activation Guide, order form, invoice, or separate written agreement.

Third-party websites, payment pages, email providers, hosting providers, and checkout providers may have their own privacy notices.

3. Information We May Collect

We may collect personal information you choose to provide, including:

  • name;
  • email address;
  • company or organization;
  • role or professional context;
  • country or region;
  • message content;
  • demo, evaluation, quote, license, support, activation, refund, or commercial inquiry details.

If you purchase or evaluate EPM Vitals through a checkout or payment provider such as Creem.io, we may receive order-related information needed to fulfill the purchase, provide support, manage refunds, issue license materials, and keep business records. This may include:

  • purchaser name and email;
  • company, billing, tax, or invoice information provided during checkout;
  • product purchased;
  • order ID, subscription or license status, refund status, and transaction status;
  • payment method type or payment status information made available by the provider.

We do not intentionally collect or store full payment card numbers through the EPM Vitals website. Payment details are handled by the applicable checkout, merchant-of-record, payment processor, bank, or payment provider.

For activation and license support, we may receive information such as:

  • product identifier;
  • product version;
  • activation or license reference;
  • request ID;
  • generated timestamp;
  • optional machine label entered by the user;
  • hashed machine fingerprint data used for machine-bound licensing.

Activation information is not intended to include customer EPM artifacts, production files, metadata packages, grids, snapshots, financial data, or business rules.

4. Website Logs And Lightweight Analytics

When you visit the EPM Vitals website, standard web infrastructure may process technical information such as:

  • IP address;
  • browser and device information;
  • user agent;
  • referring page;
  • requested URL or page path;
  • date and time of request;
  • language or region signals;
  • security and error logs.

The website may also use lightweight first-party analytics events to understand page views, navigation clicks, language selection, video interactions, and demo-link clicks. These events are used to improve the website and do not require you to create an account.

If your browser sends a Do Not Track signal and the current site script recognizes it, the lightweight client-side analytics request is not sent.

5. Customer Artifacts Are Not Product Telemetry

EPM Vitals customer artifacts are not treated as website analytics or product telemetry.

We do not use EPM Vitals product workflows to automatically collect or upload:

  • customer EPM snapshots;
  • metadata packages;
  • Smart View grids;
  • exported workbooks;
  • configuration files;
  • mapping files;
  • business rules;
  • local run folders;
  • generated review outputs;
  • production financial or operational data.

We also do not use customer EPM artifacts to train AI models.

6. Production Data And Support Materials

Do not send production EPM files, live customer exports, confidential metadata packages, production snapshots, real financial data, client-sensitive business rules, or unredacted local paths in ordinary support emails.

For bug reports and support, use safer materials such as:

  • sanitized sample files;
  • representative dummy data;
  • redacted screenshots;
  • redacted logs;
  • redacted error messages;
  • minimal reproduction workbooks;
  • structure-only examples that remove confidential member names, values, and client identifiers.

If a real production artifact is ever required for a paid pilot, controlled evaluation, or special support case, it must be handled under a separate written agreement that defines scope, transfer method, access, retention, and deletion.

7. How We Use Information

We may use personal information to:

  • respond to inquiries;
  • schedule demos or evaluation discussions;
  • provide product, pricing, licensing, and activation information;
  • process purchases, refunds, renewals, and order records;
  • issue or troubleshoot activation codes;
  • provide support and investigate product issues;
  • improve the website, documentation, product positioning, and support process;
  • protect the website, product licensing, and checkout flow from fraud, abuse, or unauthorized use;
  • comply with legal, tax, accounting, dispute, and recordkeeping obligations.

Where applicable, the legal basis may include performance of a contract, steps requested before entering a contract, legitimate business interests, consent, and compliance with legal obligations.

8. How We Share Information

We may share personal information with service providers and business partners only as reasonably needed for the purposes described in this policy, including:

  • checkout, merchant-of-record, payment, tax, invoice, fraud-prevention, and refund providers;
  • hosting, email, domain, security, and IT service providers;
  • support, documentation, and business operations tools;
  • professional advisers such as accountants, legal advisers, or auditors;
  • authorities or other parties when required by law, dispute process, or to protect rights and security.

We do not sell personal information. We do not rent customer contact lists. We do not share customer EPM artifacts for advertising.

9. Retention

We keep personal information only for as long as reasonably needed for the purposes described in this policy, including support, licensing, activation, refund handling, security, business records, tax, accounting, legal, and dispute obligations.

Typical retention considerations include:

  • inquiry and support emails are kept as long as needed to respond, follow up, and maintain support history;
  • order, invoice, tax, refund, and payment records may be kept for required business and legal retention periods;
  • activation and license records may be kept for the license term and a reasonable period afterward for renewal, support, audit, anti-abuse, and dispute handling;
  • website logs and analytics records are kept for operational, security, and website-improvement purposes;
  • optional support samples should be minimized, sanitized where possible, and deleted or returned when no longer needed unless a separate written agreement says otherwise.

10. Security

We use reasonable administrative, technical, and organizational measures to protect personal information we process.

EPM Vitals' local-first design reduces the need to transfer customer EPM artifacts to a vendor-hosted processing service, but no website, email system, payment provider, local machine, network, storage location, or software tool can be guaranteed to be completely secure.

You are responsible for securing the machines, folders, outputs, backups, and accounts you use with EPM Vitals.

11. International Processing

Depending on your location, our location, and the service providers involved, personal information may be processed in countries or regions other than where you live or work.

When applicable, we rely on appropriate business, contractual, legal, or operational safeguards for this processing.

12. Your Choices And Rights

You may contact us to request access, correction, deletion, restriction, objection, export, or other available privacy rights regarding personal information we process about you.

Your rights may depend on your location, the nature of the information, legal retention obligations, business record requirements, and whether we need the information to provide licensing, activation, payment, refund, or support services.

13. Marketing Communications

If we send product or commercial emails, you may ask us to stop sending non-transactional marketing communications.

We may still send transactional or service-related messages, such as license, activation, purchase, refund, security, or support communications.

14. Cookies And Similar Technologies

The current EPM Vitals website is a lightweight static website. It may use standard server logs and lightweight first-party analytics requests.

If we later add broader account login, customer portal features, third-party analytics, advertising pixels, or additional cookie-based tracking, we should update this policy or provide additional notice where required.

15. Children's Privacy

EPM Vitals is a professional software product for EPM delivery, implementation, review, and operations work. It is not directed to children.

We do not knowingly collect personal information from children.

16. Changes To This Policy

We may update this Privacy Policy from time to time.

When we make changes, we will update the effective date. Significant changes may be announced on the website or through appropriate communication channels.
